WHAT
One place for study staff to organize all study participant data and make sure it’s accurate and high quality
COMPLEXITY
4 major users with interdependent flows differing depending on study phase. Balancing product vision with managing requests from key pharma partners.
IMPACT
Launched with 77% opt-ins to Casebook+ out of 1300 sessions and "Very satisfied" rating across Baseline Health Study users surveyed.
PROBLEM
Study data is hard to capture, and innaccurately captured, leading to non-compliant studies
Siloed data management
2017 survey of 300 (Veeva 2017 clinical operations survey), 69% identified integrating study data management systems (different system for each data type: sensor, imaging, CRF, etc) across multiple applications was the top challenge.
No competitive software
51% of sponsors still manage trials using spreadsheets (Tufts center for study of drug development, 2015).
Unclear what needs to be done
These are the list of visits. There’s no indication of which visit is the correct one to be completing at this time.
There is no indication of what and how many activities must be completed for any visit.
GOAL
One place for study staff to organize all participant data and make sure it’s accurate and high quality
Method
Aggregated UXR of site staff journeys to develop a clear picture of how studies are run at study sites
Outcome
Generated detailed user journeys across 4 site staff user types
Identified key users: investigator, coordinator, data manager, monitor & their key needs
Next steps
Visit an actual study site
Method
Visited and interviewed study staff at a local site, capturing in-person workflows
Learnings
Visits involve multiple staff, moving across site, with different devices
Lots of staff hand-offs require needing to know what’s been completed and what’s needed
Notification of tasks and next steps are needed
DESIGN
"What I've seen is exactly what we need" - partner site staff
I have omitted specific business partner names in this case study. All information in this case study is my own and does not reflect the views of Verily.
*From UXR summary with 15 site staff
"Casebook+ addresses many current partner pain points"
Casebook+ provides an overview of each participant’s status and what actions are needed.
Ex. in-progress forms, number of open queries
"Casebook+ folder organization was intuitive"
Participants were easily able to navigate through a Casebook+ to find documents and perform tasks.
"Casebook+ will likely streamline workflows"
Casebook+ integrates features that support workflows for a variety of roles.
Ex. Query + SDV dropdowns, SDV all, Next query
Areas of improvement
"Casebook+ needs to seamlessly integrate Tasks, Compliance, and Notifications"
Tasks and Compliance are better suited for some workflows that sites and sponsors can make work with Casebook+ list.
"Customization will allow Casebook+ to provide most value"
Not all data surfaced in Casebook+ is relevant to every study or every role.
Long-term Casebook+ and Study Studios should to allow sponsors to pick what and how information is presented.
"More research is needed to test complex and important workflows"
Future research and usability testing in the following areas: AE/SAEs reporting and documentation, log forms, unscheduled visits, querying buttons, notes.
DESIGN
Continue to iterate during and after development
Complete visits by finishing the activities (forms) within the visit
Unclear what needs to be done

Clearly know what needs to be done
Site staff knows at all times what needs to be done. Show required activities that are complete vs incomplete.
Iterate on designs with UXR through testing with site staff
Affinity diagram
Organize user feedback into key themes to inform Casebook product direction.
Test & iterate
RITE testing with 15 participants. UI iterations throughout and major changes made between rounds.

Complex prototype
Test, iterate, and maintain 150+ screens across several versions based on quarter-by-quarter milestones.
Clear documentation for ENG team
ENG members personally reaching out about the clarity on following design documentation.
E.g. "index" of prototype flows mapped to key required journeys across users.
Drive continual improvement throughout development and release
Post launch survey
Test, iterate, and maintain 150+ screens across several versions based on quarter-by-quarter milestones.
Track UX bugs and enhancements
Participate in all bug bashes. Demo all features. Log UX bugs as they are discovered and work with product to scope and add into the sprint timeline(s).
IMPACT
E2E prototype
Formulated E2E study execution journeys and designed, maintained, and iterated ~150+ UX screens across 4 user groups with dozens of overlapping user flows.
Strong positive feedback
From 10 users across major business partners.
High opt-in use
Launched with 77% opt-ins to Casebook+ out of 1300 sessions and "Very satisfied" rating across Baseline Health Study users surveyed.
